Leasing Specialist & Viewings We have our experienced leasing specialist Bonnie who handles all of our rental enquiries for advertised properties. She works with the industry leading software program providing a database of prospective Tenants. The program also allows prospective Tenants to book open homes after hours. Our leasing department conducts ample open homes during the week and also on Saturdays. Our open homes are advertised on the leading Real Estate industry websites. Property Managers Upon securing a Tenant, your Property Manager will then be your point of contact, your Tenants point of contact and will conduct all property management services on your property. The reasoning for our structure is to allow your property manager to solely focus on managing your property. TENANCY POLICY We Never Hand Out Keys We personally escort every prospective Tenant through our properties, we never hand out the keys directly to them. This is one of our many strict office policies. This ensures that the person is supervised and that the property is locked securely upon exit. It also gives us an opportunity to personally meet with the prospective Tenants and assess them prior to them submitting their application. Tenant Application All applications are thoroughly reference checked by our leasing department. All occupants over the age of 18 are required to apply & supply us with 100pts of identification. During the application process we check the following: Checking for them on TICA (A database of defaulting Tenants listed by Real Estate Agents throughout Australia) Current & previous residential details- If renting we confirm the applicant’s rental references in writing. If the applicants are home owners we have access to a property website to confirm the ownership Employment confirmation- an employment confirmation request form is emailed/faxed to the applicants place of work Tenant Selection Once we have processed all applications on your property, your Property Manager will contact you to present each one. You are actively involved in the Tenant selection process to make an informed decision in regards to who you want living in your investment property. In the instance that we are unable to contact you, i.e. you are overseas or out of area, Harcourts will use their discretion in approving a Tenant on your behalf. Entry Condition Reports Once a Tenant has been selected, an Entry Condition Report is completed by your Property Manager and photos are taken of the property prior to the new tenant moving in. This report is essential for protecting your property and ensuring the Tenants return it to the same condition upon receiving it. Bonds The Residential Tenancies Authority holds all bonds in QLD. The Tenants are required to pay a bond equivalent to four weeks rent. The bond is not released back to the Tenant until the final vacate inspection has been carried out. If the vacate inspection satisfies our standards and all monies owed are paid, only then will the bond be refunded. Rental Payments Tenants are required to pay rent in advance in accordance with the Residential Tenancy Agreement. Our office has a very strict rent arrears policy which Tenants are made aware of upon signing the tenancy agreement. Our office has a strict rent arrears procedure as per the following: 2-3 days- SMS text message is sent each day 4-7 days- Phone call/ email is sent each day until rent is paid or communication is made from Tenant 7 clear days- Constitutes a breach of the Residential Tenancies Act and will result in a Notice to Remedy Breach being issued on the 8th day The business owner Paul, works together with the Property Managers on the arrears daily. Paul will also make contact with any repeat offending Tenants. Monthly Disbursements and Statements Trust account funds are electronically transferred into the bank account of your choice. We give you the option to be disbursed once or twice per month, depending on your needs. Any expenses i.e. rates, repair invoices, Body Corporate fees etc. can be paid directly from your rental funds. A detailed statement outlining rent collected, authorised expenditure and management fees is sent out every time a disbursement is made to your nominated bank account. Additionally an End of Financial Year Statement is forwarded for taxation purposes, at the end of the financial year at no extra cost. Statement can be either posted or emailed to our clients. DURING TENANCY Routine Property Inspections Routine Inspections are carried out every 13 weeks. These inspections are conducted regularly to ensure your Tenants are maintaining your property accordingly. A report including photos are provided to you to keep you up to date on the condition of your investment property. The Tenants are issued with a RTA Form 9- Entry Notice in regards to the upcoming Routine Inspection. If you would like to be present for a Routine Inspection please advise Harcourts in advance, so that we are able to arrange a date & time. Please be aware under the Residential Tenancies Act, we are required to provide at least 7 clear days’ notice prior to the quarterly inspection. Lease Renewals and Rent Reviews In accordance with our fiduciary duty, we strive to keep your Tenant on a fixed term lease. Approximately three months prior to the lease ending, we contact you for your instructions for lease the renewal offer. We will also take the opportunity to review the rent on the property and adjust accordingly. Maintenance We contact you prior to any maintenance being carried out on your property. The only exception to this is being after hours emergencies. All our contractors are professional licensed tradespeople with all the necessary qualifications, insurances and knowledge. We guide you on how to maintain your property in a manner that will maximise your rental return and protect the long term value of your asset whilst minimising your expenses. Annual Maintenance Requirements Coordinated & Arranged We can arrange your yearly termite inspections to protect your valuable asset. We can also take care of general pest control, annual smoke alarm requirements and pool compliance arrangements. Payment of Rates and Insurances We can arrange payments of insurances such as Landlord insurance and payments of rates (upon request).
